Duties of the PTO Officers
President:
Shall preside at all scheduled PTO meetings and executive board meetings.
Regular general meetings of the PTO shall be held bimonthly during the school year. The board meetings are scheduled according to the frequency determined by the president or by the majority of the executive board. Meetings have been held every two weeks for the board in the past.
Coordinate the work of the officers and committees of the PTO in order that the objectives may be promoted.
Meet with PTO/PTSO presidents from Rawlings, Landrum, and Nease at a frequency determined by all parties and plan a joint meeting for the four schools to be held usually in January.
Shall be a member ex-officio of all committees except the nominating committee.
Will be expected to speak at all PTO sponsored events.
The President will be a liaison between the PTO board and the administration.
Shall attend the School Advisory Committee (SAC) meetings as a guest.
Shall prepare the budget with the treasurer at the beginning of the school year.
Vice President:
Work with the Assistant Principal to schedule the general PTO meetings (4) throughout the year and find locations for the board meetings throughout the year.
Work with the Assistant Principal to order planners for upcoming 4th and 5th graders.
Work with Music Teacher to order recorders for upcoming 4th and 5th graders.
Chair and organize the nominating committee for the year, usually done in Jan.
Help with PTO sponsored events throughout the year.
Secretary:
Shall record minutes of all board and general PTO meetings and distribute them to all board members.
Responsible for all correspondence from PTO (e.g. birthday cards, thank-you notes, etc.)
Shall keep and update all staff profiles.
Responsible for all staff appreciation events and should attend the committee meetings.
Shall help with all PTO sponsored events throughout the year.
Treasurer:
Responsible for maintaining the financial records of the PTO including deposits, check writing, budgets and all financial happenings of the PTO.
Shall calculate monthly sales tax due and prepare a monthly financial statement for the PTO board.
Shall chair the financial committee with three other board members.
Shall help with all PTO sponsored events throughout the year.
Public Relations:
Responsible for getting the PTO newsletter out every two weeks.
Shall contact local papers about any OPE events and provide text.
Shall work with the Media Center to publicize events on the OPE morning news and website.
Shall update the reader board in the front of the school.
Shall help with all PTO sponsored events throughout the year.
Volunteer Coordinators:
Shall help with all PTO sponsored events throughout the year.
Shall organize a gift or event in appreciation of the volunteers at the end of the year.
VC Clearance
Responsible for coordinating efforts of OPE Volunteer Clearance Process by maintaining forms and sending them to St. John’s County for clearance status.
VC Volunteers
Shall coordinate positions for Committee chairpersons.
Shall coordinate volunteers for PTO sponsored events.
Shall support administration with “Volunteers” for OPE events
VC Room Parent Liaison / Events
Shall organize and host the Welcome Back Teacher Luncheon held in the beginning of the year.
Shall organize and host the Volunteer Breakfast for all Room Parents and Committee Chairs held in September.
Shall coordinate positions for Room Parent and other teacher volunteers.
Fundraising :
Shall be responsible for the explanation and notification of all fundraising events.
Shall be responsible for overseeing Fall Dinner/ Silent Auction and Spring Family Night.
Shall be responsible for other fundraising events throughout the year as decided on by the board and attend committee meetings for those events.
Shall help with all PTO sponsored events throughout the year.
Membership:
Shall be responsible for planning and executing the membership drive in the fall.
Responsible for the coordinating the school directory.
Responsible for a PTO feedback survey if requested by the board.
Shall help with all PTO sponsored events throughout the year.
Member at Large:
Responsible for food drive before Thanksgiving for an organization of choice.
Shall be a liaison between feeder schools.
Shall help with all PTO sponsored events throughout the year.
Past President:
Shall serve as a parliamentarian and advisor to the president and board and will review bylaws and recommend amendments as needed.
Shall help with all PTO sponsored events throughout the year.
Teacher Liaison:
Shall be appointed by the faculty and shall represent the interests of the faculty on the PTO board.
